Ema Media Group LLC (“EMA,” “we,” “us”) is a marketing services company based in Massachusetts. Our mailing address is 940 Broadway, Everett, MA 02149. You can reach us at admin@emamediagroup.com or (617) 812-1751. This policy covers two groups: people who visit emamediagroup.com or contact us, and clients whose marketing we run.

1. What We Collect from Website Visitors

Contact details you give us: your name, business name, email, phone, and anything you write in a form, chat, or text message. Booking details: when you book a consult or assessment, the time you chose and what you told us about your business. Payment details: handled by Stripe. We never see or store your full card number. We receive the amount, the last four digits, and whether the payment succeeded. Automatic data: IP address, browser and device type, pages viewed, and how you found us, collected through cookies and similar tools. Messages: what you send to our website chat, our business number, or our social accounts, including conversations answered by our AI assistant.

2. What We Hold for Clients

If you hire us, we store the business information you give us so we can run your marketing: business details, hours, services, service areas, logos and photos, links to your accounts, and the customer records that flow into the CRM we operate for you. Your customer records belong to you. We process them on your behalf. We do not sell them, use them for our own marketing, or share them with other clients.

3. How We Use Information

To reply to you, book consults, and deliver what you bought. To take payment and send invoices and receipts. To run the marketing you hired us for. To send you service messages about your account. To send marketing emails or texts, if you opted in, which you can stop at any time. To keep the records we are legally required to keep. To protect against fraud and misuse. We do not sell your personal information.

4. Who We Share It With

We use service providers that process information on our behalf: GoHighLevel (LeadConnector) for CRM, website chat, email, SMS, calendars and automation; Stripe for payment processing; Google for Business Profile and website analytics; Meta, Instagram, LinkedIn, YouTube, TikTok and X, only where we manage your profiles; and our website host and email provider. We also share information where the law requires it, or to protect our rights or someone’s safety. If our business is sold or merged, client records may transfer as part of it.

5. Text Messages

If you opt in to texts, we send them through our platform. Consent to receive texts is never a condition of buying anything. Reply STOP to stop messages, HELP for help. Message and data rates may apply. Mobile opt-in information and consent are never shared with third parties for their own marketing. Full details are on our SMS Terms page.

6. Calls and Recording

Where we provide AI phone answering or call handling, callers are told at the start of the call that they are speaking with an automated assistant, and whether the call is being recorded. Massachusetts law requires everyone on a call to consent before it is recorded, and we follow that.

7. Cookies

Our site uses cookies for essential functions, to remember your choices, and to measure traffic. You can decline non-essential cookies in the banner when you arrive, and you can block or delete cookies in your browser settings.

8. How Long We Keep It

Enquiries that do not become clients: up to 24 months. Client records: for the length of the engagement and 7 years after, for tax and accounting. Payment records: as long as the law requires. You can ask us to delete sooner, except where we are required to keep something.

9. Your Choices and Rights

You can ask us to show you, correct, delete, or export the personal information we hold about you, and you can withdraw consent to marketing at any time. Email admin@emamediagroup.com and we will respond within 30 days. If you live somewhere that grants specific privacy rights, such as California, those rights apply and we will honor them.

10. Children

Our services are for businesses. We do not knowingly collect personal information from anyone under 16.

11. Security

We use established providers, limit which members of our team can access client accounts, and use individual logins rather than shared ones. No system is perfectly secure, and we cannot guarantee against every risk.

12. Changes

We will update the date at the top when this policy changes, and we will flag material changes on the site.
